Position: Administrative Assistant - Vocational Training Project (Full Time)

Background Information

Sauti Kuu Foundation (SKF) is a non-profit organization established and registered in Kenya in 2010 and 2011 in Germany respectively. The Foundation operates in Alego Nyangoma, Siaya County and has offices in Munich and Nairobi. In 2018, the organization launched the Sports, Resource & Education Center which comprises various sports facilities, a vocational training centre, a library, and a computer room. In 2020, SKF received funding from the Germany Government through the Federal Ministry for Economic Cooperation and Development (BMZ) to promote vocational training in partnership with the Chamber of Skilled Crafts in Hannover (Handwerkskammer Hannover (HWK)). The first phase of the project is for three (3) years with the possibility of further funding for a second three year phase upon satisfactorily implementing the first. 

The Sauti Kuu Vocational Training Project is designed to prepare young people in rural Western Kenya (Siaya and Kisumu Counties) through a one-year orientation and exploration course to make an informed decision with regards to which skilled craft they would like to pursue professionally through vocational training on completion of the course. The scope of the project includes the phases: vocational skills orientation training courses; development of soft skills and social competencies; as well as preparation for a transition into further vocational training or employment. The project provides entry-level (3) training for eight (8) trades in accordance with the CBET curricular. 

POSITION SUMMARY:

In summary, the role requires the following:


  • Technical skills and knowledge in Office Administration;


  • Digital skills - Proficiency in computer applications;


  • Excellent verbal and written communication skills;

  • Responsible and reliable;


  • Proficient in English and Kiswahili;


A valid driving license will be highly desirable.

Responsibilities

  • Providing administrative assistance for the trainers and trainees;


  • Maintain Vocational Training equipment inventories;


  • Carry out administrative duties such as filing, typing, photocopying, printing, binding, scanning etc.;


  • Assist in tracking repairs and maintenance within the Vocational Training facility;


  • Coordinating supplies replenishment;


  • Maintaining supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies;


  • Cover the reception desk;


  • Any other related duties as might be assigned when need arises;



Education & Experience

  • At least Diploma in a field related to Administration or Customer Service;


  • A minimum of two (2) years of progressively responsible experience in administrative services, human resources or related area is required;


  • Knowledge of office management systems, IT systems and procedures, Microsoft Office packages;


  • Good knowledge of administrative rules and regulations and local NGO administrative needs;


  • Experience in an Education or Non-Profit sector will be highly desirable.
